Entrada Terms of Use

The practical rules for using Entrada responsibly inside your organization.

These Terms of Use incorporate by reference our Privacy Policy. Together, they form the agreement between Henrix Automations Ltd and the organization using Entrada.

1. Acceptance

By creating an Entrada account or using Entrada, you agree to these Terms on behalf of yourself and the organization you represent.

If you use Entrada for an organization, you confirm that you have authority to bind that organization, or have been granted access by someone who does.

2. Authorized Use

Entrada shall be used for lawful visitor management, reception workflows, host notifications, reporting, billing, and related organization administration.

You shall not use Entrada to: collect personal data beyond what is reasonably required for visitor access, security, or reporting purposes; harass visitors or contacts; bypass access controls; overload or attempt to disrupt the service; interfere with security controls; attempt to access another organization's workspace; reverse-engineer or resell the platform; or use it for any unlawful purpose.

3. Accounts And Permissions

Your organization is responsible for creating appropriate management and reception accounts, assigning permissions carefully, protecting passwords and OTP access, and removing staff access when it is no longer needed. You are responsible for all activity under your organization's accounts.

Reception accounts are intended for check-in and checkout workflows. Management accounts are intended for dashboard, reporting, billing, settings, and team administration according to assigned permissions.

The first management account created for an organization is treated as the primary admin unless ownership is transferred through an approved administrative process.

4. Visitor Records And Data Responsibility

Your organization is responsible for ensuring visitor data is collected and handled lawfully, including having a lawful basis to collect it and giving visitors appropriate notice. Entrada provides the software workflow; your organization determines the operational purpose, staff access, retention period, and use of exports.

Your organization shall not use Entrada to collect visitor information that is not reasonably required for visitor access, security, reporting, or related operational purposes.

Your organization agrees to indemnify and hold Henrix Automations Ltd harmless from any claim, loss, or penalty arising from your organization's unlawful collection or misuse of visitor data, or from your breach of these Terms.

5. Intellectual Property

Henrix Automations Ltd owns all rights in the Entrada software, platform, and branding. Nothing in these Terms transfers ownership of the platform to you.

As stated in our Privacy Policy, visitor records and other data your organization enters into Entrada remain your organization's property.

6. Plans, Trials, And Limits

Free trials and paid plans may include limits for visitors, SMS alerts, team accounts, reporting, or other features. Trial access may lock automatically when the trial expires.

If SMS limits are reached during a trial, Entrada may continue in-app notifications without blocking check-in workflows.

Paid plans activate once the payment provider confirms a successful transaction. Plan limits and usage counters may reset or change when a new plan begins. Fees, once paid, are non-refundable except where required by law or expressly stated otherwise at the time of purchase.

7. Notifications, Reports, And Billing

SMS, email, invoices, receipts, and scheduled reports depend on external providers and recipient availability. Entrada records delivery state where practical but does not guarantee that every external message is delivered.

Invoices, receipts, and report emails are sent to the billing or report recipients configured by the organization, subject to provider availability and valid recipient details.

8. Deletion

If an authorized admin deletes an account or configures retention deletion, eligible data is permanently deleted after the final confirmation or undo window. Deleted data cannot be recovered. Your organization is responsible for exporting any data it wishes to retain before deletion.

9. Changes And Availability

Henrix Automations Ltd may update Entrada to improve security, reliability, performance, compliance, billing, or product functionality. The service may occasionally be unavailable for maintenance or infrastructure reasons.

We may update these Terms from time to time. Material changes will be communicated to organizations by email, and the "last updated" date above will be revised. Continued use of Entrada after changes take effect constitutes acceptance of the revised Terms.

10. Disclaimer Of Warranties

Entrada is provided "as is" and "as available." Henrix Automations Ltd does not warrant that the service will be uninterrupted, error-free, or fit for any purpose beyond what is expressly stated in these Terms.

11. Limitation Of Liability

To the maximum extent permitted by law, Henrix Automations Ltd shall not be liable for indirect, incidental, or consequential damages, or for loss of data, revenue, or business arising from use of Entrada, including delivery failures by third-party SMS, email, or payment providers beyond our reasonable control.

Where liability cannot be excluded, Henrix Automations Ltd's total liability for any claim arising from these Terms shall not exceed the fees paid by your organization for Entrada in the 1 month preceding the claim.

Nothing in this section limits liability that cannot be limited under Kenyan law, including liability arising from fraud or willful misconduct.

12. Suspension And Termination

Henrix Automations Ltd may suspend or terminate access to Entrada for breach of these Terms, non-payment, or unlawful use, with notice where reasonably practicable.

Your organization may stop using Entrada, or close its account, at any time. Sections of these Terms that by their nature should survive termination, including data responsibility, intellectual property, indemnification, and limitation of liability, continue to apply after termination.

13. Force Majeure

Henrix Automations Ltd is not liable for delay or failure to perform caused by circumstances beyond our reasonable control, including internet, power, or infrastructure outages, or acts of third-party providers.

14. Governing Law

These Terms are governed by the laws of Kenya, and any dispute arising from them shall be subject to the exclusive jurisdiction of the courts of Kenya.

15. General

If any provision of these Terms is found unenforceable, the remaining provisions continue in effect. These Terms, together with the Privacy Policy, constitute the entire agreement between the parties regarding Entrada. Your organization may not assign these Terms without our consent; we may assign them in connection with a merger, acquisition, or sale of assets.
